Group Enrollment Tips

If July is any indication of the coming year for new group sales, it should be a great 2007-08’ for all of us! As a result, this provides an excellent opportunity for us to remind you about the mechanics of enrolling an ODS group plan, in the most effective and efficient way possible. Below, is a list of items to keep an eye out for as you work with your client in completing ODS enrollment paperwork:

Group Application

Please ensure handwriting is legible for accurate programming
Materials required, in addition to the group application are:
- First month’s premium
- Completed enrollment forms (need to be signed)
- Waivers / Declination of Coverage Forms
- Deductible Credit Report (or EOB’s), when applicable
- Prior months billing (medical only)
- Appropriate IRS forms (for group’s 2-4 enrollees)

Show Stoppers

The list below reflects the missing data that will stop the group enrollment process and none of us want that:

Group application not signed
Incorrect or incomplete group size verification form
Not having the first months premium
Prior months billing not included with group application (medical only)
Any Rate difference between ODS quote and rates on application

Items that slow down enrollment process, but don’t stop it:

Missing information on enrollment form- DOH, DOB, no signature
Group application not complete or missing required information
Missing waiver forms

Update: In order to provide better, overall service to our new employer groups in the group enrollment process, ODS will be implementing a “drop dead date” of when we will accept new groups. Beginning with our 10/1/2007 business, ODS will accept completed group applications and enrollment forms no later than the 20th of the month for a first of the following months effective date. For example: to get a 10/1 eff date, group enrollment information is required to be in an ODS office no later than 9/20. This way, new ODS members will likely have an ODS id card in their hands by the first of the month.
